ConnectOS is in a lot of aspects perfectly designed for working with projects. These projects are mostly based on directory entries. Something that has to be mentioned is that projects can not only exist in cooperation with other companies, it is also possible to work on in-house projects together with your colleagues. ConnectOS’ projects module offers easy and efficient communication with your project partners, the possibility to share documents and much more – either with project partners from other companies or your own colleagues.

1. creating a project
Projects stand in close correlation with directory entries. If a new project is created it has to be made sure that the client exists as an entry within the directory. If they don’t, they can easily be added by clicking within the directory module.
The module projects & boxes can be found in the left menu bar. Form there a new project can easily be created simply by clicking in the top right corner. When clicking the project settings are immediately opened. In this window the client as well as the name of the project can be defined. In addiction to that the approximate time it will take to finish the project can be set under the category hours and the hourly rate can be defined as well. So the accounting can be eased. Of course little notes can be added as well. When everything is set, click CONTINUE and you will be met with the option to select the participants. It can be selected who will be participating in that particular project and what they are authorized to.

2. project settings – archive and messages
After saving a project a new window that contains additional project settings will be opened. Of course this can be opened by simply clicking on an already existing project in the project overview as well. Besides the settings that were already mentioned in part one, you now have access to the ARCHIVE, MESSAGES and the WORKFLOW option.
The ARCHIVE is an archive specifically for this particular project. So all documents that are relevant for this project are saved at one place which makes exchanging and accessing data extremely efficient. The option MESSAGES lets you decide whether you want messages regarding this particular projects to be allowed or deactivated. If this option is activated, messages can be written within this project and automatically sent to the participating clients due to the implemented distribution mechanism. So a lot of time can be saved once again.

3. adding a workflow to a project
The WORKFLOW can be considered as a form of automatism. If you want specific processes to be periodically repeated, this can automatically be done by a so called workflow. In order to define such workflow click NEW WORKFLOW. Imagine there is a project that requires a two hour long security checkup once a month by a particular team. – This can be defined by a workflow, so the chance of forgetting about the checkup is eliminated.

For an employee to have access to ConnectOS’ projects they have to be granted authority first. In the menu bar left these options can be set in the category HR > employees or HR > teams. Choose the employee or the team of interest and open the submenu AUTHORIZATION in the top menu bar of the opened tab. In those settings it can be defined to which company department and to what extend the employee or team has access to. Here can be differentiated between READ, WRITE and ADMINISTER. In between all the available modules the PROJECTS module can be found as well.
